This policy explains how Kingston Con Pty Ltd handles personal information in the Kingston Con crew app and operations dashboard.

Who we are
Kingston Con Pty Ltd (ABN 83 623 882 842) operates the Kingston Con crew app and operations dashboard. Our address is Unit 5/138 Argus St Cheltenham.
Information we collect
We collect the information needed to run work and administer the business, including:
- your name, mobile number and account or sign-in information;
- your work allocations, including the projects, sites and dates assigned to you;
- daycards and the work details you submit in them; and
- technical, security and audit records needed to operate and protect the app and dashboard, including a registered device notification token when you choose to enable notifications.
The crew app collects precise device location, including an accuracy reading, only when you deliberately tap a site event such as sign on, sign off, start break or end break. The location stamp is attached to that event to record its site or attendance context. The app does not collect location between taps and does not use background or continuous location tracking.
How we collect and hold it
We collect information directly when you sign in or use the app or dashboard, from records entered by authorised office users, and from technical and audit events generated while the services operate. We hold it in access-controlled business systems operated by us and our service providers.
How we use it
We use this information to:
- show and manage work allocations and site information;
- receive, review and administer daycards;
- support payroll and employment administration;
- contact users about their work or account;
- deliver an authorised work notification to a device that the user has deliberately registered;
- secure, troubleshoot and audit the services; and
- meet legal and record-keeping obligations.
Service providers
We use service providers to operate these services. Xero processes relevant payroll information. Google Maps processes map, site-address, geocoding and directions requests. Firebase provides configured app infrastructure and may process associated technical app data. These providers process information on our behalf for those functions and also publish their own terms and privacy information.

These providers operate internationally and may process or store information outside Australia in the locations where they provide their services. Their service locations and subprocessors can change; contact us for current information relevant to these services.
Retention and protection
We keep information only for as long as it is reasonably needed for operations, payroll and employment administration, auditing, security, and legal or record-keeping obligations. When it is no longer required, we take reasonable steps to delete or de-identify it, subject to lawful retention and backup requirements. We use access controls and other reasonable safeguards appropriate to an internal workforce system.
Request account and data deletion
Kingston Crew accounts are created and managed by Kingston Con for its workforce. To request deletion of your account and associated app data, email info@kingstoncon.com with the subject “Kingston Crew data deletion” and include the name and mobile number used for the account. We will verify the request with you before making changes.
After verification, we delete or de-identify account, device-registration and app operational data that is no longer required. Work, payroll, employment, site-safety, security and audit records are retained only where they remain necessary for legitimate business administration or a legal or record-keeping obligation. Protected backups age out under our backup schedule. We respond and complete the request within the periods required by applicable law, and explain any information that must be retained and why.
